Fewer no-shows: confirmations, requests and the morning agenda
Customers confirm from their reminder, repeat no-shows have to ask first, and you can approve bookings yourself.
Four things work together so fewer people simply don't turn up. They're on every plan.
1. Customers confirm from the reminder
The reminder email has a Yes, I'll be there button. It opens the customer's booking page, where one more tap confirms. (Email systems sometimes open links on their own, so the email click alone doesn't count.) The same email asks customers who can't make it to reschedule or cancel, which frees the time for someone else.
In your Calendar, confirmed appointments show a ✓, and the appointment panel says when the customer confirmed.
2. Mark no-shows, and see them coming
When someone doesn't turn up, open the appointment and choose No-show. Okayset counts these per customer: you see the number on the customer in Customers, in the appointment panel and in your morning agenda. Marking it is only for you; the customer isn't told.
3. Repeat no-shows have to ask first
Under Settings › Booking rules › No-show protection, choose a limit, for example 2 or more no-shows. From then on, a customer who reached the limit can still pick a time on your booking page, but it becomes a request:
- The time is reserved for them, so nobody else can take it.
- They get an email saying you'll confirm personally. No reminder is sent until you approve.
- You get an email and see the request under Requests (with a count in the menu).
Approve sends them the normal confirmation and reminder. Decline frees the time, and they get a kind email with your note (optional) and a link to pick another time. For a repeating booking, approving or declining covers all its dates.
Bookings you make yourself in the dashboard are never requests.
4. Approve every booking for a service
Some services you want to check first: a first consultation, a big job, something that needs preparation. Edit the service under Services and tick Approve each booking. Every online booking for it becomes a request, as described above.
Your day at 7:00
Every morning at 7:00 your time, each person on your team gets an email with the day's appointments: owners and admins see everyone's, others see their own. It shows who confirmed, which requests still wait for you and who has missed visits before. Nothing is sent on days without appointments. Turn it off under Settings › Notifications.
